We work asynchronously with our clients, and virtual office hours are available. Our systems are built to keep your tax work moving while reducing the back-and-forth that slows things down. How Our Process Works

We wrote the Our Process guide to give an overview of how the relationship flows. You’ll receive an onboarding email that guides you step-by-step through opening and navigating the portal, as well as customized instructions that guide you through tax document submissions specific to your situation.
At any time during the process, we can chat through the portal, or schedule calls to clarify anything unclear. The “Client Portal” button is also conveniently located on the nav bar of our website so you never lose track.

No. Our system allows you to submit documents as you receive them, while we keep track.
If we are missing anything from you or believe there is anything outstanding, we will let you know quickly to keep the process moving along.
Communication & Support

While the rhythms of our busy season vary, you can expect a response to all questions that come through the client portal within 3 business days. Emailed questions may take longer to review, so we will always encourage clients to chat us through the portal.

Yes — you’ll be able to meet directly with a tax expert who knows your situation in detail. Once you’re onboarded, you’ll have priority access to our calendar so you can schedule time whenever you need a live conversation.
Technology & Security

All client data is stored in a secure, encrypted cloud platform that meets IRS and SOC 2 security standards. Files are transmitted via a secure portal — never by email. Please also consult our Privacy Policy and Terms of Service for more information on how we use third party software tools, while keeping your most sensitive information safe.

No. Everything is accessible through the secure “Client Portal” button on our website. There is an app version you can download, as well. And with the single sign on feature, you can complete your entire tax process from your phone or computer without extra logins or installs.

Administrative Details

Your filed returns are stored in your portal for secure, year-round access at any time. Our industry-standard process is to present your return for review, obtain your e-file authorization, and then file and notify you when the process is complete.

Yes, and you can indicate in your Smart Intake experience whether outstanding IRS notices are something you’re coming to us about.
We will then offer review and handling of your notices—if we determine we are able to assist—as part of your client package.
If you receive an IRS notice related to a return we prepared, we’ll handle this as part of your engagement.
